Executive Assistant
O2 Employment Services is working with a local construction company to find their next Executive Assistant – Construction. This remote position will work closely with the company owner to support administrative operations, field communication, workforce coordination, time tracking, and construction projects.
The ideal candidate will be organized, proactive, tech-savvy, and experienced within the construction or trades industry. This position requires someone who can work independently, manage multiple priorities, and communicate effectively with field employees, outside partners, and company leadership.
Executive Assistant – Compensation & Schedule
- $22.00–$28.00 per hour, depending on experience
- Approximately 20 hours per week to start
- Expected to transition to full-time as project needs increase
- 100% remote position
- Must reside in California
- Temp-to-hire opportunity
Executive Assistant – Responsibilities
- Provide direct administrative and organizational support to the company owner
- Coordinate with outside staffing partners regarding onboarding and workforce needs
- Review and manage employee timekeeping through QuickBooks Time
- Ensure employee hours are accurately assigned to appropriate projects and job codes
- Categorize and match receipts and expenses within QuickBooks
- Monitor field updates, project photos, and communication through CompanyCam
- Serve as a primary point of contact for field communication and organize non-urgent updates for company leadership
- Assist with incoming bid opportunities and organize related documents
- Download and organize project plans and assist with basic estimating templates
- Manage scheduling and calendar priorities for the company owner
- Maintain organized digital records and help streamline administrative processes
- Communicate with field employees, accounting partners, staffing agencies, and other outside contacts as needed
Executive Assistant – Qualifications
- Minimum 2 years of administrative experience within construction, contracting, or the trades required
- Experience with QuickBooks Online and QuickBooks Time required
- Proficiency with Microsoft Excel
- Experience with CompanyCam preferred, or ability to learn new technology quickly
- Working knowledge of construction processes and terminology, including change orders, lien waivers, and submittals
- Familiarity with California construction-related labor and timekeeping requirements preferred
- Strong organizational skills and attention to detail
- Excellent written and verbal communication skills
- Ability to professionally prioritize and filter communications while protecting executive time
- Comfortable working independently in a remote environment
- Must reside in California
